EPP – Mobilisation and skill icons

Enjoy the convenience of effortless workforce management with our exciting new feature! Now, you can assign custom icons to essential skills and mobilisations, making it easy to spot key abilities at a glance. Highlight crucial competencies on employee profiles, streamline your workforce management on the 'People on Site' page, and print smart stickers from terminals that display these vital skills and mobilisations.


Skill and mobilisation icons – Assign icons to skills overview

You can assign icons to highlight important mobilisations on an employee’s profile, the 'People on site' page, and on stickers printed from terminals. When an employee has a mobilisation shown on their profile, the assigned icons appear next to it. 

These icons are only visible to worksite users.


    Assigning icons

    Icons can only be assigned to mobilisations at the worksite level by worksite users with the configuration of mobilisations custom permission.
    A single mobilisation could have multiple icons assigned.

    Icon library
    Icons in the library can either be :

    • Global - Created by Damstra staff in TWMS under ‘System’> ‘Icon library’
    • Client-specific - Created when assigning a new icon to a skills at the client-level
    • Worksite-specific -Created when assigning a new icon to a skill or mobilisation at the worksite-level

    Note, that the icon library is available when assigning icons to skills or mobilisations, but managing the icon library
    will be handled in a later phase.

    Background image
    Icons can be configured to print as background image on stickers printed from terminals.


    Assign mobilisation icons – Where do I find it?

    Worksite users will now be able to assign icons to mobilisations if they have the configuration of mobilisations custom permission.
    All icons assigned to mobilisations can be viewed from EPP> System settings> Configure mobilisations> Icons. 

    From the mobilisation icon register worksite users can:

    1. View the icon, icon name, mobilisation assigned to and background image settings
    2. View icon history
    3. Edit assignment
    4. Unassign icon
    5. Assign a new icon


    How does it work?

    When assigned, and an employee has this mobilisation shown on their profile, the icon/s assigned to that mobilisation are shown next to it.

    You can assign icons to highlight important skills on an employee’s profile, the 'People on site' page, and on stickers printed from terminals. When these skills are shown on an employee's profile, the assigned icons will appear next to them. These icons are only visible to worksite users.


    Assigning icons

    When viewing an entire client/organisation in the worksite filter, users can assign icons to skills at both the client level and individual worksite levels. For example, a skill icon can be assigned to all of Damstra Technology or just to a specific Damstra Technology worksite. When viewing a single worksite, users can assign icons to skills at that specific worksite level.

    Icons can be assigned to skills of any type:

    • Global qualifications
    • Org-wide qualifications
    • Worksite skills
    • Worksite appointments
    • Communications
    • Medical records

    A single skill could have multiple icons assigned.

      Icon library

      Icons in the library can either be:

      • Global - Created by Damstra staff in TWMS under ‘System’ > ‘Icon library' > 'Icon library’
      • Client-specific - Created when assigning a new icon to a skill at the client-level
      • Worksite-specific - Created when assigning a new icon to a skill or mobilisation at the worksite-level

      Note, that the icon library is available when assigning icons to skills or mobilisations, but managing the icon library will be handled in a later phase.

      Skill level

      Icons can be configured to only apply to a skill if the skill record on the employee’s profile has certain levels assigned to it.

      Background image

      Icons can be configured to print as background image on stickers printed from terminals.

      Unassigning icons

      Icons can only be unassigned from skills which will remove them everywhere they are currently displayed in the EPP system. Unassigned icons are recorded in the 'Deletion history' tab.

      Worksite users will now be able to assign icons to mobilisations if they have the configuration of mobilisations custom permission.
      All icons assigned to mobilisations can be viewed from EPP> System settings> Configure mobilisations> Icons.

      1. View the worksite, the icon, icon name, skill assigned to,skill level and background image settings
      2. View icon history

Now, manage employee mobilisation bookings directly through their profiles, providing convenience. This new feature aligns with your existing TWMS capabilities, ensuring a smooth transition while granting you enhanced control.

      Additionally, it empowers you to effortlessly cancel learning calendar bookings, simplifying the task of adjusting employee schedules.


      Configuration & Custom Permission

      The custom permission can be configured from the user details page of EPP:

      • Login to EPP
      • Go to System settings
      • Click User login accounts – ‘Details’
      • Permissions & access tab
      • Workforce management
      • Employee profiles – ‘Add/edit mobilisations’

      Worksite contacts who has the custom permission on will be able to turn this on for others equal or lower to their level.


      What happens if attendees are removed from the learning calendar session?

      • Once attendees are removed, the mobilisation’s status on the employee’s profile is ‘Cancelled’
      • Once attendees are removed, the mobilisation is inactivated on the employee’s profile
      • The no corresponding session icon is shown next to the start date on the mobilisation on the employee’s profile
        ‘If there is a request in the company’s ‘Active mobilisation requests', this request is moved to the ‘Cancelled section’


      Cancelling mobilisations on the employee profile

      Worksite users with the right permissions can now cancel employee mobilisation bookings directly from the employee profile. This improvement matches your current TWMS features, ensuring a smooth transition process.

      • If the mobilisation requires a session and there is a corresponding booking in the learning calendar, but the employee has not yet been marked as attended, a 'Cancel booking' option will show in the dropdown options for the mobilisation.
        • This option is disabled if the mobilisation request for this mobilisation is still pending verification. A tooltip shows on hover to explain this to the user
      • To cancel the mobilisation
        • Select ‘Cancel booking” option in the dropdown options for the mobilisation
        • Confirm cancellation by selecting ‘Yes, cancel booking’


        What happens if I cancel a mobilisation on the employee profile?

        • Once cancelled, the mobilisation’s status is ‘Cancelled’
        • Once removed, the mobilisation is inactivated on the employee’s profile
        • The no corresponding session icon is shown next to the start date on the mobilisation on the employee’s profile
        • The employee is removed from the learning calendar session
        • ‘If there is a request in the company’s ‘Active mobilisation requests', this request is moved to the ‘Cancelled section’

        EPP – Attach documents to the attendance learning calendar

        Simplify your attendance and skill management with our new feature that allows worksite users to easily add skills and attachments to learning sessions, eliminating the need for manual attendance register submissions to Damstra.

        With EPP, attendance tracking becomes self-manageable, saving time and reducing admin tasks. Accessible via the web for users with custom permissions, it streamlines the process by letting you assign skills, upload attendance registers, and mark attendees in one go. Skills and attachments are then automatically saved to individual profiles.


        Configuration & Custom Permission

        The custom permission can be configured from the user details page of EPP:

        1. Login to EPP
        2. Go to System settings
        3. Click User login accounts – ‘Details’
        4. Permissions & access tab
        5. Learning management
        6. Learning calendar – ‘Create/edit sessions’

        Additional permission to ‘Add organisation-wide qualifications to the sessions’ is available if required for the user to do so

        Worksite contacts who has the custom permission on will be able to turn this on for others equal or lower to their level.


        Scheduling a session in the learning calendar

        • When creating a session in the learning calendar, worksite users will now have the option to add a skill to the session so that when employees are marked as attended, this skill will automatically be added to their profiles.
        • The below skill type will be selectable from the list except if linked to DL lessons, restricted, parent, and payment skills:
          • Worksite skills
          • Communication skills
          • Organisation-wide qualifications


        Editing a session in the learning calendar

        • When editing a session in the learning calendar, worksite users will now have the option to add a skill and attachment to the session so that when employees are marked as attended, the skill and attachment will automatically be added to their profiles.
        • The below skill type will be selectable from the list except if linked to DL lessons, restricted, parent, and payment skills:
          • Worksite skills
          • Communication skills
          • Organisation-wide qualifications
        • Skills and attachments can no longer be edited after an employee is marked as 'attended' for the session


        What happens if I mark an employee as attended?

        Marking the employee as attended will:

        • Activate the employee’s mobilisation - if all other requirements for this mobilisation have been completed, this employee will be able to access this worksite
        • Add any skills and attachments attached to the session to the employee's profile
        • Disable skill editing - no skills and attachments will be able to be added or removed from the session
        • Disable session cancellation - this will prevent accidentally cancelling the session as employees have already attended


          Attended employees

          Employees who attend sessions will be mobilised immediately, with session-specific skills and attachments automatically added to their profiles. Skill records from the learning calendar attendance will be marked with a calendar icon for easy identification.
